Migrating to RNTOR is straightforward when you follow the right sequence. This guide covers the full process—from exporting your existing data to collecting your first payments through RNTOR. Throughout the process, the RNTOR support team is available to help you and answer your questions.

1. Export your data

Log in as an administrator to your old platform and export all relevant data:
  • Individual members and their contact details.
  • Company members.
  • Subscriptions and billing details for each member and company.
  • Upcoming bookings.
  • Your products: plans, resources, and any other services you offer, including their settings and pricing.
Save everything in organized spreadsheets. You’ll use them when inviting members and recreating content in RNTOR.

2. Set up RNTOR

Before inviting members, complete your setup so members can book, pay, and engage the moment they log in. Follow the Start guide to configure:
  • Network: branding, custom domain, privacy policy, and terms of use.
  • Location: address, schedule, billing settings, and a connected payment gateway.
  • Resources: rooms, desks, offices, parking, and equipment.
  • Plans and contracts: membership plans with pricing and contract templates.

3. Communicate the transition to members

Set up your communication channels before sending invitations, so members have all the context they need when they log in.
  • Send an announcement email a few days in advance.
  • In Location settings > Customers, customize member invitation emails with a personal message.
  • In Engagement > Feed, create and pin a welcome post highlighting key information about the new member portal.
  • In Support > Guides, add guides with essential information members are likely to need.

4. Stop billing on your previous platform

Complete this step before creating subscriptions in RNTOR to avoid double-charging members.
  1. One to two weeks before your next billing cycle, cancel all memberships or disable the invoicing schedule in your previous platform.
  2. Notify members that future invoices will come from RNTOR.

5. Invite members and create subscriptions

  1. Prepare a spreadsheet with members’ personal details:
  1. Prepare a second spreadsheet with each member’s subscription details: the membership plan or resource they subscribe to, plus any custom details or pricing.
  2. Go to Customers > (…) > Invite multiple users, paste the member table, and send the mass invitation.
  3. Set a subscription for each member by assigning your pre-created plans and resources.
Set the subscription start date to when the member originally signed up—not the next billing date—to preserve accurate records. If the current period was already billed in your old platform, set Issue first invoice > Manually. Delete that draft invoice; subsequent invoices will be issued automatically from the next renewal date.
  1. Add billing details for each member, or ask members to add them after logging in.
If subscriptions use standard plan settings with no custom details or billing adjustments, select plans for each member and mass-create subscriptions directly from the invitation window.
You can invite everyone at once or gradually over a few days. In either case, set a clear deadline to keep the migration coordinated.
Members receive an invitation email to activate their account. They immediately gain access to bookings, credits, discounts, access rights, and all plan entitlements. On the next subscription renewal date, RNTOR automatically issues their first invoice. See the member onboarding experience.

6. Migrate future bookings

Transfer upcoming bookings using the method that best fits your situation.
Best if: your previous platform can connect to Google Calendar.Prerequisites:
  1. Connect your Google Calendar to the previous platform.
  2. Create a separate Google calendar for each resource.
  3. Ensure upcoming bookings are synced to the corresponding calendars.
  4. Add your resources to RNTOR.
Steps:
  1. In RNTOR, go to (…) next to location > Integrations > Google Calendar.
  2. Connect the same Google account and grant read/write access.
  3. Edit each resource and link the corresponding Google calendar.
  4. Enable two-way sync where supported.
All synchronized upcoming bookings appear in RNTOR. After those bookings have passed, you can disconnect Google Calendar.

7. Accept first invoice payments via RNTOR

  1. On each member’s next renewal date, RNTOR automatically issues and delivers their invoice through the enabled notification channels.
  2. Members pay the invoice with a supported payment method.
  3. When the connected payment gateway supports saved payment methods, the method can become the default for automatic charging on future invoices.
  4. Monitor payments on the notifications and Invoices pages.

8. Drive member adoption

The technical migration is only half the job. Encourage members to use the new portal:
  • Give members extra credits or day passes to encourage their first self-served bookings.
  • Offer a temporary discount on bookings or other purchases.
  • Generate QR code stickers for rooms, desks, the member portal, or other important pages and place them around the space.

Credit balances cannot be transferred automatically. After migration, manually add credits to members’ accounts as needed.
