Connect Tapkey to manage customers’ door access automatically for confirmed bookings and active subscriptions.
Tapkey is a separate provider. Contact Tapkey for its hardware, account features, app support, and pricing.

Prerequisites

  1. Set up your locks in Tapkey. To use user groups, enable them on your Tapkey account and assign the required locks to each group.
  2. Use a Tapkey administrator account and a Rntor administrator account with permission to manage the location’s integrations.
  3. Use a Live workspace in Rntor.
Create groups dedicated to Rntor instead of sharing groups managed by another application.

Connect Tapkey integration

  1. Open Settings, then Integrations under the required location.
  2. Select Tapkey and click Connect Tapkey.
  3. Sign in to Tapkey and approve the connection.
  4. If prompted, choose the account that owns the location’s locks and click Save.
Each location can have its own Tapkey connection.

Configure access for Tapkey

Access can follow subscriptions or bookings for rooms, desks, offices, equipment, and parking. Select existing user groups under Access > Tapkey groups. Configure each group’s locks and access schedule in Tapkey. Groups must be enabled on the connected account. Rntor also supports individual locks through Tapkey doors.

Access for subscriptions

For future new members

  1. Edit a saved membership plan and select its access groups in Access.
  2. Create a subscription, or let customers sign up for the plan.
For a resource rental, configure access on the saved subscription item covering that rental.

For existing members

  1. Open the subscription and select the relevant saved item.
  2. Choose its Tapkey groups in Access. Changes synchronize automatically.

Access for resource bookings

  1. Go to Resources > Rooms, Desks, Offices, Parking, or Equipment.
  2. Edit the resource and select its Tapkey groups in Access.

Access for plans with day passes

  1. Leave access unselected on the plan and subscription items.
  2. Configure access on the hot desk resource.
Customers receive access when they book that desk with a day pass, including the location’s booking grace period.
Setting access on the plan grants access throughout the eligible subscription period, including days without a booking.

How Tapkey integration works

Access based on subscriptions

  • Access follows active, unsuspended subscriptions and their item dates.
  • Access begins at midnight on the start date and includes the end date, in the location’s time zone.
  • Eligible company subscriptions cover active customers belonging to that company at the same location, including members added later.
  • Ending, canceling, or suspending a subscription removes its access unless another entitlement still provides it.
Invoice payment status does not independently control access. To end access, change the subscription’s end date or cancel it.

Access based on bookings

  • Confirmed bookings grant access to the booking customer and eligible room invitees.
  • Changes to booking times or cancellations automatically update access.
  • The default grace period is 15 minutes before and after a booking. Adjust it in Integrations > Tapkey > Access window and click Save.

How users unlock doors

  1. Install the Tapkey app.
  2. Sign in with the email address used in Rntor.
  3. Open the app near the relevant lock and unlock during the permitted access period.

Inform customers how to unlock doors

Tapkey does not send an automatic app invitation. Explain installation and the matching email address in:

Disconnect Tapkey

  1. Open the location’s Integrations > Tapkey page.
  2. Click Disconnect and confirm.
Rntor removes the access it created before completing disconnection. Manually added Tapkey access is preserved. If Access needs review in Tapkey appears, review the affected memberships in Tapkey to complete disconnection.
Offline locks may continue accepting a revoked key until the phone or lock synchronizes.

FAQs

Create dedicated groups in Tapkey and assign them to the matching resources or plans:
  • Shared entrance: use one entrance group across the resources and plans that need it.
  • Private offices: give each office a group containing its door and the shared entrance.
  • Meeting rooms: combine each room’s door with the entrance. Desks and shared areas can use the entrance group alone.
  • Membership levels: set different schedules in Tapkey, such as business hours and round-the-clock access, and assign each group to its plan.
