Use permissions to give each administrator the responsibilities they need in the locations they manage. Some modules remain readable when editing is disabled; turning off a permission does not necessarily hide that module or its prices.

Customize permissions

Set permissions when you invite an administrator, or change them later:
  1. Open Settings from the sidebar and select Administrators.
  2. Open the administrator’s (…) menu and select Edit.
  3. Turn the required permissions on or off.
  4. Select Save.
Owners and super administrators have all permissions in all locations. Granular permission switches apply to the Administrator role.

Understand permissions

Key considerations

  • Each administrator has one permission set, shared across all locations they manage.
  • Owners and super administrators always have every permission in every location. If an owner changes to Administrator, they retain all permissions and all-location access until you edit that access.
  • Notification preferences do not grant access. The corresponding permission is also required: invoice-payment notifications require Customers, and booking notifications require Resources.
  • Any administrator of a location can check users in, regardless of their permission switches.
  • Managing administrators is controlled by the staff role, rather than a separate Administrators permission.

Best practices

Choose permissions according to the person’s duties:

FAQs

Can an administrator view a module when its permission is off?

Usually, they retain read-only access. The exceptions are Analytics, Location settings, and Integrations, which need their matching permissions. Opening another user’s support ticket requires Support. Seeing assignments requires Analytics; creating or managing them also requires Resources.

Can I hide prices from an administrator?

No. Administrators can view plan, subscription, invoice, resource, and booking prices regardless of permission settings. Removing the related write permission restricts actions such as creating, editing, and refunding; it does not hide prices.
