# Glossary

> Definitions for key terms and concepts used throughout RNTOR

**Active users** — users who engage with the member web portal or mobile app through bookings, payments, or by having a personal or company subscription, thereby creating value for your business. [Learn more](/docs/admin/administration/billing/active-users)

**Administrator** — a person on your coworking space’s staff or team who is responsible for managing a specific location. Administrators manage customers, billing, and all services offered from the RNTOR admin portal.

**API & webhooks** — an add-on that enables RNTOR REST API and webhooks for custom integrations and automated workflows with third-party platforms. [Learn more](/docs/admin/administration/api-and-webhooks)

**Assignment** — a long-term allocation of a resource, such as a dedicated desk or office, to a customer through a rental subscription. It reserves the resource for the customer’s exclusive use.

**Benefit** — a local or partnership discount, special offer, or coupon provided by your space or partner businesses as a perk for customers.

**Company** — an entity that includes multiple users under one business name. Company users can share billing and subscription perks such as credits, day passes, and discounts.

**Company manager** — a company user responsible for company billing, receiving and paying invoices, managing payment methods, and handling other company settings. **Company user** — a user who belongs to a company and can share access to company subscription benefits.

**Contact** — a walk-in who leaves their details using the contact collection feature in the Reception experience. Contacts are usually people visiting for a tour, pricing inquiry, or membership information.

**Contract** — a formal agreement between the space and a customer that defines membership or rental terms and can support digital signatures. [Learn more](/docs/admin/billing/contracts/set-up-contracts)

**Coupon** — a discount with custom rules, such as eligible products, percentage or fixed amount, duration, and redemption limits. [Learn more](/docs/admin/billing/discounts/coupons-and-promo-codes)

**Credit note** — a commercial document used to adjust the balance owed on an unpaid invoice or return funds for a paid invoice. [Learn more](/docs/admin/billing/invoices/credit-notes)

**Credits** — an internal payment method members use for bookings, shop orders, or event tickets. Credits can be included in subscriptions or purchased in packages. [Learn more](/docs/admin/billing/credits-and-day-passes/credits)

**Day passes** — an internal payment method members use to book hot desks on the days they visit. Day passes can be part of membership plans or purchased in packages. [Learn more](/docs/admin/billing/credits-and-day-passes/day-passes)

**Desk** — a workstation offered as a hot desk for on-demand bookings or as a dedicated desk reserved for a customer. Desks can be booked short term or rented long term.

**Equipment** — physical assets such as monitors, projectors, or whiteboards that customers can book or rent.

**Floor plans** — interactive visual layouts of rooms, desks, and offices. Users check availability and book directly from the map, while administrators track space occupancy visually. [Learn more](/docs/admin/resource-management/floors/set-up-floor-plans)

**Host (Events)** — the person responsible for running an event.

**Host (Visitors)** — the member whom a visitor comes to see. Members can preregister visitors, or visitors can select their host during registration.

**Invoice** — a commercial document listing the products or services provided and the amount owed. [Learn more](/docs/admin/billing/invoices/set-up-invoicing)

**Location** — a specific physical space or building in a network. Each location has its own resources, services, community, and settings.

**Location member** — a member who belongs to a specific location. When visibility is limited to location members, only members of that location can access the resource or service.

**Member** — a customer who belongs to a location community, typically through a membership plan or resource rental subscription.

**Member mobile app** — a branded mobile experience where customers access services, book, pay, and engage with the community.

**Member web portal** — a branded web application where customers access services, book, pay, and engage with the community from a browser. [Learn more](/docs/admin/general/member-web-portal/customize-member-web-portal)

**Network** — an organization that contains one or multiple locations and shares a name, branding, and network-level settings.

**Network member** — a member who belongs to any location within the network. Resources and services visible to network members can be accessed by members from all locations.

**Network settings** — configuration for the entire network, including branding, member portal customization, subscription management, and other owner-only settings.

**Nonmember** — a one-time, occasional, or former customer who does not belong to the community and has no active membership. Nonmembers can access only resources and services with public visibility.

**Office** — a private office that customers can rent long term.

**Owner** — a user responsible for the entire network and its RNTOR subscription. A network can have multiple owners. [Learn more](/docs/admin/administration/administrators/owner)

**Package** — a bundle of credits or day passes that members can purchase for bookings, shop orders, or event tickets. [Learn more](/docs/admin/billing/credits-and-day-passes/packages)

**Parent room** — a larger room or space that, when booked, automatically blocks related rooms or desks. It is often used for dividable rooms or overlapping event spaces.

**Parking lot** — a designated vehicle parking area whose spaces can be booked or rented.

**Plan** — a membership, service package, or level of access customers can sign up for, such as a hot desk or flex membership plan. [Learn more](/docs/admin/billing/plans/set-up-plans)

**Product (Shop)** — an item or service available for a one-time purchase through the Shop page.

**Product (Subscription)** — the core offering a customer purchases for recurring or long-term access, such as a resource rental or membership plan.

**Promo code** — a unique alphanumeric code associated with a coupon that customers enter to redeem a discount. [Learn more](/docs/admin/billing/discounts/coupons-and-promo-codes)

**Receipt** — a document confirming monetary payment for a service. It serves as proof that payment was received. [Learn more](/docs/admin/billing/payments/receipts)

**Reception** — a tablet experience for visitor check-in and check-out, registration of unexpected visitors, and collecting contacts from walk-ins. [Learn more](/docs/admin/service/visitors/set-up-visitors)

**Reports** — downloadable files containing comprehensive data for a selected type and period, such as invoices, bookings, or subscriptions. [Learn more](/docs/admin/analytics-reports/reports)

**Resources** — physical assets such as meeting rooms, desks, offices, parking spaces, and equipment that can be booked or rented.

**Room** — a private room or space for meetings, conferences, or events, typically booked for short-term use.

**Room display** — an app or display experience that shows real-time room availability on a tablet near the room entrance and can support instant booking and check-in. [Learn more](/docs/admin/resource-management/room-display/set-up-room-display)

**Location settings** — general, billing, module, and integration configuration for a specific location.

**RNTOR** — the admin portal from which administrators manage their space.

**Subscription** — a recurring payment arrangement for a resource rental or membership plan that provides ongoing access and automatically generates invoices. [Learn more](/docs/admin/billing/subscriptions/set-up-subscriptions)

**Transaction** — a record of a customer exchanging money, credits, or day passes for a product or service.

**Visibility** — a setting that determines which groups of users can view and access a resource, service, or page. [Learn more](/docs/admin/location/visibility)

**Visitor** — a guest invited by a member for a meeting or visit. Visitors can be preregistered by their host or register through Reception.

**Visitors** — a module for tracking members’ visitors, check-ins, and check-outs through a branded Reception experience. [Learn more](/docs/admin/service/visitors/set-up-visitors)
